Announcement: Voting at Judge Foundry’s Annual Meeting 2024

Judge Foundry Members,

By now, you’ve seen that our Annual Meeting has been scheduled for September 14, 2024, in Crystal, Minnesota. The schedule includes both business meetings of the organization, where members may be asked to vote on issues, and other sessions, including educational and social sessions. The meeting sessions will be available to online attendees. Members received official notice of the meeting via email. In-person and online attendees should register by applying to the JudgeApps event to receive further updates.

Votes and elections at the annual meeting will be hosted by ElectionBuddy, the same platform used by members to elect Regional Advocates earlier this year. However, there are some slight differences:

  • You will have to log in using an access key and a password. The URL, access key, and password, will be provided by email. The same access key and password will be valid for all votes at the meeting.
  • Each vote will be started and announced at the meeting. The opening of each vote, and the duration it will be open for, will be announced at the meeting.

Before the Annual Meeting

For this meeting, the list of Voting Members was locked in as of August 24th, as required by law. (Notice must be delivered to all eligible voters, so the voter list must be locked in before notice can be sent. Notice had to be sent at least 21 days before the meeting.)

All eligible voters will receive a ballot by email to elect the Board of Directors. You do not need to take any action to receive this ballot. Voting will be opened during the meeting, probably by 11:00 AM Central Time. Voting will remain open until the beginning of the final session of the meeting at 5:30 PM Central Time, at which point the winners will be announced.

For business during the Annual Meeting, participants must register to receive a ballot. Members can register for the Annual Meeting on JudgeApps at https://apps.magicjudges.org/events/13404/. Voting members who sign up for the meeting will receive a separate email on September 14th, before 10:00 AM Central Time, with instructions to vote on other business.

How to Vote at the Annual Meeting

Votes at the meeting will include the selection of Members of the Board of Directors, votes for Amendments to the Bylaws, and other business that may arise. Any votes that we know about in advance will be listed on our index page. During the meeting, votes will appear at https://secure.electionbuddy.com/m/foundry, and results for completed votes will also be accessible from that page.

When the meeting opens, we will start with a quorum call / test vote. This gives us an opportunity to confirm and document the presence of a quorum, as well as an opportunity for you to test your access to the online voting system. The Board of Directors election is also scheduled, voting will open at the conclusion of candidate speeches as shown on the final agenda. Other votes will be opened at those topics arise, and will generally be open for only a few minutes, so that the results may be announced at the meeting and members may raise other matters based on those results.
